At Cleaning with T.O. ("we," "our," or "us"), we respect your privacy and are committed to protecting the personal information you share with us through our website (www.cleaningwithto.com), digital intake forms, coaching sessions, and community platforms.

This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you purchase passes, register for coaching, or participate in our community programs.

1. Information We Collect

We collect information that you provide directly to us when interacting with our services:

  • Personal Identification Details: Name, email address, phone number, and physical mailing address (required for shipping physical toolkits, activation boxes, or coordinating in-person sessions).
  • Account & Pass Information: Assigned Member ID numbers (e.g., HP, WP, or ON series), pass activation records, and transaction details.
  • Diagnostic & Session Data: Information submitted via pre-session forms, room photographs, space descriptions, and household layout notes submitted for 1-on-1 mapping and execution blitzes.
  • Organizational Affiliation: Sponsoring employer, agency, or non-profit partner names when passes are redeemed through corporate wellness or community programs.

2. How We Use Your Information

We use collected information solely to deliver and improve our coaching services:

  • Fulfilling physical merchandise, cleaning toolkits, and welcome anchor packages.
  • Scheduling and hosting live virtual reset sessions, 1-on-1 coaching blocks, and prep calls.
  • Granting authenticated access to our virtual community platforms, resource libraries, and live Q&A sessions.
  • Generating high-level, anonymized utilization and progress summaries for corporate or community program sponsors without disclosing private home details.
  • Communicating administrative updates, session reminders, and customer support notices.

3. Client Dignity, Space Privacy & Virtual Session Protocols

Home coaching involves sensitive, personal environments. We maintain strict privacy and safety standards across all formats:

  • Virtual Group Resets: Group reset sessions are conducted with attendee microphones muted and cameras strictly optional. You are never required to show your face or broadcast your living space to other participants.
  • Confidentiality of Diagnostic Photos: Any room photos or space inventories submitted for coaching assessments are used exclusively by Coach T.O. for diagnostic and planning purposes. They are never published, shared, or displayed publicly without explicit written consent.
  • Corporate & Sponsor Reporting Boundaries: Sponsoring organizations receive only aggregated, anonymized progress metrics (such as activation rates, attendance, and general milestone criteria). Personal intake notes, individual photos, and private session discussions remain confidential.

4. Sharing & Disclosure of Information

We do not sell, rent, or trade your personal information to third parties. We may share data only under the following limited circumstances:

  • Service Providers: Trusted third-party service providers (such as payment processors, shipping carriers, calendar booking tools, and database platforms) strictly to the extent necessary to perform operational services.
  • Legal Compliance: When required by law, regulation, or legal process to protect safety, property, or legal rights.

5. Data Retention & Security

We implement appropriate technical and organizational measures to safeguard your personal data against unauthorized access, loss, or alteration. Diagnostic materials and contact records are retained only as long as necessary to fulfill coaching commitments and maintain community memberships.
